Chair, Co-Chair
Create planning strategy, proposal and carry out tasks. Assisting with the managerial direction of the organization. Planning and running meetings. Acting as spokesperson or figurehead.
Vice Chair
Assist the Chair in carrying out tasks or as an acting chair when it is necessary.
Secretary
Supporting the administration of the organization. Facilitating and supporting committee meetings. Document management including filing, writing letters, meeting minutes, and progress records. Prepare and distribute an agenda and supporting material a week or two before a meeting.
Treasurer
Finance management including keeping records of debit and credit from the preparation to the post-event activities. Keeping an overview of the finances of the organization. Reporting to committee meetings. Making sure the organization has the right financial policies and procedures in place.
TPC Manager
Organizes papers from submission, review, acceptance, and publication process. Appoint and communicate with TPCs. Create a reviewer invitation form, a reviewer response form, a request to review the paper format, a thank you note to the reviewer after the conference.
Publication
To liaise from the paper submission to the publishing of the MJVC International Proceeding. To assist in proofreading the official publication prior to submission to the printer.
Protocol
Ensure formal invitations to all guests at least four weeks prior to the event. Establish procedures for taking RSVPs. Make necessary local arrangements. Make necessary transportation arrangements. Assist in determining the seating arrangements for the head table.
IT
Monitoring and maintaining computer systems and networks. Ensure presentation slides of all guest speakers and presenters are stored and saved in the notebook at least a week prior to the event. Maintain the general filing system and file all correspondence. As a timekeeper in the event, responding within agreed time limits to call-outs.
Logistic
Facilitate material movement planning and scheduling. Coordinate item delivery schedules. Assist in obtaining necessary transportation permits if necessary. Ensure compliance with all state, federal, environmental, safety, and hazardous waste regulations.
Publicity
Poster, pamphlet, and leaflet design. Plan publicity and promotion strategy that reaches out to students and professionals. Writing and mailings of publicity or press materials, coordinating and performing advertisement tasks.
Program Manager
Manage tasks related to the conference program and proceed with printing. Source for a printing company, arrange program and proceeding, send for printing (program book – abstracts, schedule).
Webmaster
Source, develop, and maintain website. Create feedback forms.
Registration
Manage participant’s name list including VIPs, and design and create name tags, sign boards, and registration table decoration. Organizes materials to be given together to the participant at the registration, and souvenirs, and certificates at the closing.
